How to Add a Third-Party

How to add third parties and all their relevant details to the register

On the Welcome page of any Phinity Solution, navigate to the ‘Register’ as shown in the below screenshot:

The Third-Party Register allows you to enter, store and manage all relevant information about your businesses third parties. The type of information stored is customisable. However, there are some mandatory fields that you need to complete (e.g. Third-Party Name, Start Date, etc.).

From the “Third Party Register” page, a user can:

  • Add, edit or delete a Third Party.

Click the “ADD” button.

  • Third-Party Name – Legal Entity Name.
  • Third-Party Number - A uniquely identifiable number used to track your third party.
    • Start Date - When the Third-Party service starts within your business.
    • Status - Whether the Third Party's services are active or terminated.
    • End Date - The expiration date of the Third Party's services in your organisation.
  • Relationship Manager (Internal) - The internal Relationship Manager is an individual within your business responsible for the relationship with the third party.
  • Relationship Manager (External) – The external Relationship Manager is an individual from the third party that manages the relationship/contract from the side of the third party.
  • Administrator - The administrator is the champion responsible for the use of Phinity within your organisation.
  • Department - Department describes the business area/unit in your organisation which consumes the services or owns the relationship with the third party (Human Resources, Legal, Procurement, etc.).
  • Business Unit - Unit within the department using the Third Party’s services.
  • Service Category – Type of service that the third party will be providing (e.g. Cloud, Consulting, Storage, Hosting, etc.).
  • Risk Profile – Selection is based on the inherent risk assessment scoring (e.g. Low / Medium / High / Very High / No Risk / Unassigned).

When adding a new third party, please complete all mandatory fields & click save.
